A step-by-step guide to filing sales tax in Virginia

Let’s jump right into the steps for filing sales tax in Virginia so you can stay compliant.

Step 1: Create your online sales tax account

Go to the Virginia Department of Taxation website (www.tax.virginia.gov) and find the “Sign Up Now” link under the “Login” section in the top right corner of the homepage. Click this link to access the new account registration form.

Carefully enter all required business information such as your company name, address, phone number, owner/officer details, and Federal EIN. Create a secure login ID and password you can easily remember. Double-check that all provided account details are accurate before submitting the form.

Once the registration is successfully submitted, you will receive an email confirmation with your permanent VA sales tax account number. Save this for your records along with your login credentials.

Step 2: Log In to your account

Access the Department of Taxation secure online portal using the login link in the site header. Enter your user ID and password on the authentication page to start your sales tax filing session.

If you have forgotten your login details, you can always use the password reset function by entering your email address or account number. An email will be sent with instructions to create a new password.

Once logged in, you can manage all aspects of your Virginia tax obligations including filing returns, submitting payments, and communicating with Department representatives.

Step 3: Start your tax return filing

After logging into your account, navigate to the sales tax forms page. Select the appropriate form and tax type for your business (retail sales tax, consumer use tax, etc). Ensure you have the correct filing frequency (monthly, quarterly, etc) and reporting period.

Use the provided form guide to understand each field. Have all required supporting documents and sales data on hand to complete the return accurately.

Enter your gross sales, allowable deductions, net taxable sales, and exact locality details. The form will auto-calculate amounts owed based on jurisdictions.

Step 4: Enter your tax details and business information

Populate the return carefully with figures from your point-of-sale system, accounting software, inventory reports and other sources. Break down taxable/non-taxable sales, itemize all exemptions and deductions, apply tax credits if eligible.

If needed, save your progress and come back later to finalize figures - just be sure to submit before the filing deadline to avoid late fees. The “Pay This Amount” field shows total sales tax owed.

Review for accuracy - errors can result in hefty interest and penalties from the Department. Reach out with any form questions.

Step 5: Submit your tax payment

When your return is complete and accurate, proceed to the secure payment page.

Select your preferred payment method—options include electronic bank fund transfers (EFT), credit/debit cards (service fees apply), checks, or money orders.

Step 6: Finalize Your Filing

Download copies of your submitted return and payment confirmation in PDF or printout form. You want to maintain comprehensive records of your filings for at least 5 years in case of an audit.

Also, to avoid penalties, mark filing deadlines on your calendar and set reminders for easy ongoing compliance. The Department is also available for help if required throughout the filing or compliance process.
