A step-by-step process for filing sales tax returns in Kentucky

Let’s get right into the steps for filing sales tax in Kentucky. We’ll begin by creating an account. Feel free to jump to step 2 if you already have an account.

Step 1: Create an online account

To begin the process of filing your Kentucky sales tax return, you'll need to register for a sales tax permit and create an account on the Kentucky One Stop Business Portal. The registration process can be completed entirely online, and once finished, you will receive your login credentials.

On the portal's banner page, locate the "Create an Account" button in the middle box and click on it. 

You will be directed to a registration form where you'll need to fill out all the required details. Once you've entered all the necessary information, click on the "Signup" button to create your account.

Step 2: Login into your account

After setting up your account, return to the Kentucky One Stop Business Portal and click on the "Use My Account" button. 

Enter the email address you used during the signup process and click "Next." 

On the following page, enter your password to log in to your account.

Step 3: Start your tax return

Upon logging in, you will be directed to the state's dashboard. The dashboard might appear overwhelming at first glance, but take a moment to familiarize yourself with its layout. Begin by selecting your business from the available options.

Next, click on your business name located at the top of the page. This action will take you to a new page displaying your sales and use tax account information. Before proceeding, take some time to explore these two pages, as they serve as your main hub for managing your sales tax filings.

At the top right corner of the second page, you'll find a "Back to Dashboard" link, which allows you to easily navigate back to the main dashboard. It's essential to become well-acquainted with these pages, as they provide access to any alerts or messages related to your account.

When you feel comfortable with the dashboard's layout and functionality, you can move on to the next step. If you have any pending filings, the "Obligations" tab will display a red "1," as shown in the picture. Click on this tab and then select "File Taxes" on the right side of the screen.

Step 4: Enter tax details

After selecting "File Taxes," you will be directed to a new page where you can manage your tax filings. On this page, locate your account number and click on it to proceed to a screen that displays your due filings. From there, select the "File Now" button on the right side of the screen to begin the filing process.

If you have experience filing sales tax returns in other states, you'll find the Kentucky return process to be relatively simple and straightforward. Unlike some states, Kentucky does not require you to enter sales by area. Instead, you only need to provide your total Kentucky sales and any applicable deductions.

On the filing screen, you'll see a layout similar to the one shown in the image. In the first box, enter your sales data, excluding any sales tax collected. To add deductions, click on the "Deductions Worksheet" button, which will open a new page with various deduction options.

At the bottom of the deductions page, you'll find three additional boxes for deductions not listed above. If you made any purchases without paying sales or use tax, enter those amounts in the third box. If you're filing your return late, the system will automatically calculate and display any penalties and interest charges.

On the other hand, if you're filing your return on time, you'll see a credit in the "Vendor's Compensation" box, which serves as a reward for timely filing. Before submitting your return, it's crucial to double-check all the numbers you've entered, paying special attention to the fact that Kentucky does not want cents included in the values. For example, if you enter "15042.26," the system will interpret it as "1504226," which could significantly alter your filing.

Once you've verified that all the information is correct, click the "Submit" button to complete the filing process.

Step 5: Submit payment

After entering your tax details and submitting your return, you'll need to make a payment to the Kentucky Department of Revenue. The payment process is straightforward, and you can typically pay online using electronic funds transfer (EFT) or by mailing a check.

If you choose to pay online, follow the prompts provided by the Kentucky One Stop Business Portal to enter your payment information and complete the transaction. Be sure to keep a record of your payment confirmation for your records.
