Step-by-step guide to filing your Pennsylvania sales tax

Filing PA sales tax returns can seem complicated, but this step-by-step guide will simplify the process. Let’s break down the filing into manageable steps so you can ensure you complete all required information accurately and on time.

Step 1: Create an online account

The first step is registering for a Pennsylvania sales tax account through the Pennsylvania Department of Revenue's e-TIDES website.

On the e-TIDES home page, locate and click on the "Sign Up" button, found on the top or right side banner. This will take you to the registration page.

Carefully enter all required personal and business information including:

  • Your name
  • Business name
  • Address
  • Phone number
  • Email

Create a unique username and strong password. Note these credentials as you will need them to log in later.

Agree to the website's terms and conditions by checking the box before clicking "Next" to complete registration.

Step 2: Log in to your sales tax account

Use the unique username and password created in Step 1 to log into your sales tax account on e-TIDES.

Upon logging in, you may need to enter a verification code sent to your registered phone or email.

Enter this two-factor authentication (2FA) code to confirm your identity and gain access to your sales tax account dashboard.

Step 3: Start your tax return

From your account dashboard, click on "View Returns and Periods" under the Summary tab to view tax periods available for filing.

Select the appropriate tax period you must file (for example - December 31st, 2026). The dashboard shows important details like return type, filing status, and a "File Now" link.

You can start filling out your sales tax return for the chosen period. Answer the yes/no questions appropriately once you’re on that page.

Step 4: Enter tax details

Accurately enter gross sales and net taxable sales for each applicable tax jurisdiction.

The system will automatically calculate total sales tax amount due based on the tax rates in those jurisdictions.

Carefully verify all entered data to avoid errors or issues with your tax filing. Then click "Next" to proceed.

Step 5: Submit payment

You must submit the tax payment if your return shows an amount due.

Choose whether to pay via ACH Credit or ACH Debit. If paying by ACH Debit, enter your bank account details, including routing and account numbers.

Confirm payment details are accurate before submitting payment by clicking "OK". You will receive a confirmation message if payment is successfully submitted.

Step 6: Finalize filing

Double-check all information on the tax return before submitting to ensure accuracy. Then click "Submit Return".

You may need to enter your account password to finalize submission. After submitting successfully, save or print the confirmation page for your records.

Filing PA Sales Taxes FAQs

Is the frequency of filing sales tax returns the same for all businesses in Pennsylvania?

No, filing frequency depends on your sales volume and how much sales tax you owe, also known as your liability. The Pennsylvania Department of Revenue will assign you a filing frequency of monthly, quarterly, or semi-annually based on your individual liability amount from past tax return filings. So, higher sales with bigger tax liabilities will mean more frequent filing.

Can I still file using paper forms instead of electronic filing?

Yes, Pennsylvania does allow submitting sales tax returns by paper by mail, even though electronic e-TIDES filing is much faster in terms of processing and is easiest for the business. Opting for the traditional paper mailing route will mean return processing and confirmation will take 4-6 weeks longer than the more streamlined e-filing.

What happens if I file or pay late?

Missing the due date for filing or payment leads to late charges. Even if you don't owe any taxes for that period, a late filing penalty of up to $500 will be imposed if your return is delayed. Additionally, interest of 1% per month is charged on any unpaid or late paid taxes. So remember to calendar due dates carefully to avoid these expensive costs on top of what you may owe.

Do I need to report no sales or nil taxes?

Yes, you need to file a "zero return" for each scheduled reporting period, even when you have no Pennsylvania taxable sales transactions or nil taxes owed for that time frame. Though no taxes will need to be paid, indicating a lack of business activity for that stretch is still mandatory to comply with legal obligations.

Is SaaS taxable in Pennsylvania?

Yes, PA taxes SaaS as the state considers it tangible properly.
